Important Deadlines
To ensure the timely publishing of the academic schedule with as accurate, complete information as possible, the Scheduling Manager will determine the due date by which department schedules must be submitted in WISE. The deadlines will vary based on the Academic Calendar, Scheduling’s needs, classroom/technology maintenance, and volume of requests received. The Scheduling Manager will communicate all deadlines via email to the Department Scheduling Coordinators, who in turn are responsible for communicating these deadlines to their departments, soliciting/collecting schedule information from their departments, and submitting said schedules to Scheduling.
Below is a general timeline that can be used for planning purposes. Please note that this is not a strict timeline and is subject to change.
Term | Section Audit/Part of Term Dates Due to Scheduling | Sched. Rolled/Available in WISE | Dept. Schedules Due to Scheduling | Optimization | Sched. Live | Start of Reg. |
---|---|---|---|---|---|---|
Fall | Early December | Mid-December | Early February | Mid-February | Late February | Late March |
Winter | Mid-May | Late May | Early/Mid-September | Late September | Early/Mid-October | Late October |
Spring/Summer | Early-September | Mid-September | Early-January | Mid-January | Late January | Early February |
Late schedule submissions
Departments are asked and encouraged to notify Scheduling as soon as possible if they anticipate any challenges in meeting scheduling deadlines. Any departments that do not submit their schedules on time and do not notify Scheduling will not have their preferences taken into consideration during optimization. Scheduling cannot guarantee that a general-purpose classroom will be available for any schedules submitted late, especially if submitted after the start of optimization.
Instructor names and departmental room assignments
Whenever possible, instructor names and departmental room assignments must be listed on the Academic Schedule prior to going live as these are significant factors for students in planning their class schedules. We understand that departments may not always be able to meet this requirement, therefore all instructors and departmental room assignments must be listed on the schedule as soon as possible, but no later than the census date for Fall, Winter, and Spring/Summer. For Spring and Summer terms, instructor assignments and departmental room assignments must be listed by the end of the 2nd week of class.
